Call transfer

In one sentence

A call transfer passes a call that has already been answered to another extension or number, either straight away (blind transfer) or after briefing the colleague first (warm or attended transfer).

Also known as : call transfer · call transfers · warm transfer · warm transfers · blind transfer · blind transfers · attended transfer · cold transfer

What is a call transfer?

A call transfer happens after someone has answered: reception picks up, realises the question is for accounts, and passes the call to the right person. That is what separates it from call forwarding, which is automatic and set up in advance.

It sounds trivial, but it is one of the moments where customer experience is won or lost. A clumsy transfer means waiting on hold, repeating your name and problem three times, or ringing out with no one there.

How it works

Every phone system offers two modes:

  • Blind transfer (cold or unannounced): you dial the colleague’s extension and hang up. The call rings on their phone and you don’t know whether they will answer.
  • Warm transfer (attended or announced): you put the caller on hold, ring the colleague, brief them, then connect the two. If the colleague is busy, you go back to the caller with another option.

On an IP desk phone this is a dedicated key; on a softphone, a button and a directory search. The phone system also decides what happens if nobody answers: recall to the person who transferred, voicemail, or a queue.

The habit that makes the difference is transferring with context. A note in the CRM, or the customer record popping up as the call arrives, saves starting from scratch. When an AI agent passes a conversation to a person, the same idea is called a human handoff, usually with an automatic summary.

Example

At an insurance broker in Belfast, the front desk takes a call from a customer whose van was damaged overnight. Rather than a blind transfer to the claims line, the receptionist does a warm transfer: “I have Ms Doyle, policy ending 4471, van hit in a car park last night, she has photos.” The claims handler opens the policy before taking the call. The customer doesn’t repeat anything, and the first notice of loss is logged in a few minutes.

Call transfers at Universal Telecom

Blind and warm transfers, with automatic recall if nobody answers, are part of our virtual PBX, from desk phones, the webphone or the mobile app. To show the customer record when a transferred call arrives, our developer APIs connect the phone system to your own software.

Frequently asked questions

What is the difference between a warm and a cold transfer?

In a cold or blind transfer, you send the call without speaking to the colleague. In a warm transfer, you call the colleague first, explain who is on the line and why, then connect the caller.

What happens if the person I transfer to doesn't answer?

It depends on how the phone system is set up: the call can return to you, go to the colleague's voicemail or join a queue. Setting a recall avoids callers ringing out with nobody picking up.

When should I use a warm transfer?

Whenever the request needs explaining, the caller is upset, or the colleague may not be available. For a simple redirect, such as a supplier asking for accounts, a blind transfer is fine.

Related terms

  • Call forwarding

Call forwarding automatically redirects calls arriving on a number or extension to another destination, such as a mobile, a colleague or voicemail, either always or only when the line is busy or unanswered.

  • Extension

An extension is a short internal number, usually three or four digits, given to a user or device on a business phone system. Colleagues dial it to reach each other, and the system uses it to route calls.

  • Call queue

A call queue holds incoming callers when every agent is busy and connects them in order of arrival as soon as someone is free, playing music and announcements while they wait.

  • CTI (computer telephony integration)

CTI (computer telephony integration) connects the phone system to business software, so the caller's record appears when the phone rings and you can dial a number with one click.

  • CRM integration

CRM integration connects a business phone system to customer relationship management software, so the caller's record opens when they ring, staff dial with one click and every call is logged automatically.
