CRM integration
In one sentence
CRM integration connects a business phone system to customer relationship management software, so the caller's record opens when they ring, staff dial with one click and every call is logged automatically.
Also known as : CRM · CRM telephony integration · phone CRM integration · CRM connector
What is CRM integration?
A CRM (customer relationship management) system is where a business keeps its customers, prospects and the history of every conversation with them. The phone usually sits outside it, so calls only get logged when someone remembers. CRM integration connects the two so each call lands in the right customer record by itself.
It is the most common form of CTI, computer telephony integration. For staff it boils down to three everyday things: seeing who is calling, dialling without typing numbers, and no longer writing up call notes by hand.
How it works
The phone system and the CRM exchange events, either through a connector built by one of the vendors or through a telecom API and webhooks:
- Inbound call: the phone system passes on the caller’s number; the CRM finds the matching contact and pops the record on the screen of whoever answers.
- Click-to-call: clicking a number in the CRM places the call from the user’s desk phone, webphone or mobile app.
- Call logging: when the call ends, the CRM receives the date, duration, user and outcome, plus a link to the call recording if there is one.
- Missed call follow-up: a missed call from a known customer creates a callback task for the right account owner.
Some set-ups also add an AI-written call summary based on automatic transcription; those features sit with utio.io.
Example
A software reseller in Reading with a sales team of ten uses Salesforce, but managers had no idea how many calls each opportunity actually got. After switching on the phone system connector, every inbound call opens the right account, outbound calls start from the contact record, and each call is logged with its duration. Missed calls from customers with an open opportunity create a task for the account manager. Pipeline reviews now rely on activity the system recorded rather than on what people remember.
CRM integration at Universal Telecom
Our virtual PBX integrates with common CRMs to show caller records, dial with one click and log every call. For industry software or custom builds, our developer APIs expose call events and numbers. If you are unsure which route suits your tools, contact us.
Frequently asked questions
Which CRMs can integrate with a cloud phone system?
Popular platforms such as Salesforce, HubSpot, Pipedrive, Zoho and Microsoft Dynamics often have ready-made connectors. Industry-specific or in-house systems can usually be connected through an API and webhooks.
Does CRM integration log calls automatically?
Yes, that is the main point: date, duration, direction, the person who handled the call and the outcome are written to the contact's timeline without anyone typing them in. Recording links can be added where recording is in use.
